Migrate Your Existing Site
Migrating a site into the new CMS is not as simple as just "importing" your current site. This is actually a good thing, as it gives you the opportunity to clean up and refresh your site as you go, making sure your content is updated and still relevant. Here are steps for migrating your site:
1. Determine Your Needs
Your first steps on migrating your site should be to review and assess your current site to determine what content should/should not be migrated, and what content needs to be updated, deleted or added. Evaluate your site with your audiences in mind. Planning is the key to successfully migrating your site.
2. Define Your Information Architecture
Determining the navigation and layout of your new site should be your second priority. Don't devote endless resources to trying to figure out your homepage, that should fall into place as you go. Once you have your navigation structure in place, it will be much easier to identify content that needs to move, be rewritten or thrown away. 3. Review Your Plan
After developing a plan and draft site architecture, Site Administrators should contact Meredith Tack at Marketing Communications at 785-864-8906 or firstname.lastname@example.org to set up a pre-migration meeting. The Marketing and Communications team will review your plan and site architecture and provide insights to help you in the migration process.
4. Identify What Content can be Moved
Start with the low-hanging fruit: any pages that can be moved as is to the current site, or have minimal changes needed. If the content is completely correct, to move it:
- Visit the page where the current content is
- Highlight all the content you want to migrate, and click Edit->Copy (shortcut: ctrl+c for windows, command+c for mac)
- In the CMS, create a new content page (typically of type "General content page") by choosing "Content" then "Add Content" and then the type of page in the top administration bar.
- Click in the "body" area of your new page, and click Edit->Paste (shortcut: ctrl+v for windows, command+v for mac)
This should copy your text over with all the correct formatting in place. You may need to resize some images (see below) or tweak some other minor issues, but on whole it should be straight forward. See the content editing page for additional information on using the content editor. You can also setup any redirects you need to avoid broken links.
5. Upload, Fix and Adjust any Images
Images will need to be uploaded through the WYSIWYG editor (see the content editing page). If you are copying and pasting your content from an existing page, the image may appear in the editor, but this is not the correct image you want (it loading from the wrong site).
IMPORTANT: Be sure to replace all images that you copy and paste by uploading the images directly to the CMS site and inserting them in the page.
6. Create any Remaining Content
After migrating the basic content from your old site, you can create new content for your site. Be sure to take advantage of workflow, if applicable to your situation. The built-in workflow process places the ownership of the content in the hands of those who provide it.
7. Activate Your Site
When you have completed the migration of your content to the CMS development site, click the Site Approval button in the right sidebar to request review of your site. Complete the self-check form and submit the form. Please allow 30 days for site approval. Once the site is reviewed you will receive an email specifying any needed changes or suggestions. When approved, Marketing Communications will contact IT Web Development & Interface design to activate your site.
